Export Google Workspace into a Company Brain
The Workspace directory is the identity substrate of a company: who works here, in which org unit, who meets whom. A Company Brain starts from it and matches everyone else — Slack, Jira, the CRM — onto those people.
What a Google Workspace export holds — and what the brain makes of it
An admin downloads users with their Org Units from the Admin console, and shared calendars, shared drives and groups through an org-wide Takeout or Google Vault. The brain builder writes users into people notes with a department, shared calendars with attendees into a meeting graph (who met whom, and how often), shared drives into projects and groups into teams. Login and admin audit logs are quarantined — they are not knowledge.
This is usually the first export to add to a Company Brain, because every other source resolves onto it. A Jira assignee, a Slack member and a HubSpot deal owner with the same name become one person, and the org unit tells you where they sit.

How to export your Google Workspace data
The exact clicks, as they are today. Platforms move menus; the engine’s source docs are updated when they do.
- 01
admin.google.com → Directory → Users → Download users (CSV)
- 02
Calendars / drives via org-wide Takeout or Google Vault
- 03
Drop the archive on Google Workspace in Studio’s Sources — or tell Claude Code or Codex “build my brain from this”. The source is detected by itself, even inside a combined archive.
Then, next month
An export is a snapshot. Drop a newer one and press Update: your edits and _notes/ are kept, and the update report says what changed.
Then ask it
What you can ask a brain built from Google Workspace
Examples, not promises: the answer is whatever your notes hold, and every answer cites the notes it came from. The more exports you add, the more these questions cross sources.
- Who is in the engineering org unit, and which shared drives do they own?
- Which two teams meet most often, and who bridges them?
- Who was on the recurring customer call before the account went quiet?
limitAdmin rights are required; calendar and drive contents are structure (attendees, names, owners), never the documents or the meeting notes themselves.
Good to know
The honest answers.
Does it read our email? No. Gmail is not part of this source; a separate Email (mbox) source reads headers only — never a subject or body.
What about personal data of employees? Employee emails and phone numbers are dropped at parse time; a Company Brain keeps a data-handling note that says who the data controller is and what was removed.
